Prize Draw Terms and Conditions NRLA Birmingham event 14th July 2026
1. Promoter
The Promoter of this prize draw is Everywhen, a trading name of Advisory Insurance Brokers Limited, authorised and regulated by the Financial Conduct Authority (Firm Reference Number 313250). Registered in England and Wales, Company No. 4043759. Registered address: 2 Minister Court, Mincing Lane, London, EC3R 7PD.
2. The prize draw
By completing the online entry form, participants will automatically be entered into a prize draw to win one (1) magnum of champagne. This prize draw is operated by the Promoter and is not associated with any third-party platform sponsor unless expressly stated.
3. Eligibility
3.1 The prize draw is open to all UK residents aged 18 years or over, except employees of the Ardonagh group (including Everywhen and Advisory Insurance Brokers Limited), their families, agents or any third party directly associated with the administration of the prize draw.
3.2 By entering, participants confirm they are aged 18 or over. The Promoter reserves the right to require proof of age and/or identity form any entrant. Entries on behalf of another person will not be accepted, and joint submissions are not allowed.
3.3 The Promoter will not accept entries that are automatically generated by computer or artificial intelligence (including but not limited to chatbots ChatGPT or similar software applications), completed by third parties or in bulk, illegible, altered, forged, or tampered with.
4. Free entry / no purchase necessary
The prize draw is free to enter and no purchase is necessary
5. How to enter
5.1 All entries must be submitted by completing the entry form available at the event. The entry form will ask participants to provide their name, email address and insurance renewal date. Participants will also be given a separate, voluntary opportunity to consent to receiving marketing communications from the Promoter. Providing or withholding consent to marketing will have no effect on a participant’s eligibility to enter the prize draw or their chances of winning.
5.2 Only one entry per person is permitted. The promoter reserves the right to disqualify multiple entries from the same person.
5.3 The Promoter accepts no responsibility for entries not successfully completed due to a technical fault, technical malfunction, computer hardware or software failure, satellite, network of server failure of any kind. Proof of submission is not proof of receipt.
6. Draw period
6.1 The opening date for entries is 9am on 14th July 2026. The closing date of the prize draw is 7pm on 14th July. Entries received after the Closing Date will not be accepted.
6.2 Closing Dates will not be changed unless unavoidable circumstances beyond the Promoter’s control make it necessary to do so, and only if entrants who participated within the original terms will not be disadvantaged.
7. Winner selection
7.1 A winner will be chosen by random draw performed by a verified computer process that produces verifiably random results on 21st July 2026.
7.2 All entries, whether submitted via a free or paid route, will have an equal chance of winning. Where possible, the Promoter will make available, prior to the Draw Date, information regarding the maximum number of entries and/or the likelihood of winning a prize.
8. The prize
8.1 The winner will receive one (1) magnum of champagne.
8.2 The prize is non-exchangeable, non-transferable and no cash alternative is offered, except that the Promoter reserves the right to substitute the prize with an alternative prize of equal or higher value if circumstances beyond the Promoter’s control make it necessary to do so.
8.3 The Promoter will not reduce the prize value due to low ticket or entry numbers, change the Draw Date, or cancel the draw due to low entry numbers.
9. Winner notification
The winner will be notified by email or telephone (using details provided at entry) within 5 working days (Monday to Friday, excluding bank holidays) of the Draw Date. If a winner does not respond to the Promoter within 5 working days of being notified, the winner’s prize will be forfeited, and the Promoter will be entitled to select another winner in accordance with the process in clause 7.Where the draw takes place at the event, the winner may be announced in person at the event and will subsequently be notified in writing by email.
10. Winner announcement
10.1 The Promoter must either publish or make available information confirming that a valid award took place. To comply with this obligation, the Promoter will send the surname and county of the prize winner and, if applicable, copies of their winning entry, to anyone who emails [INSERT EMAIL ADDRESS] or writes to [INSERT ADDRESS] within one month after the draw date.
10.2 If you object to any of all of your surname and county being published or made available, please contact the Promoter at nichemarketing@everywhen.co.uk. In such circumstances, the Promoter must still provide the information and winning entry to the Advertising Standards Authority on request. Any intention to use winners in post-event publicity will be clearly stated before or at the time of entry.
11. Promoter's decision
The decision of the Promoter regarding any aspect of the prize draw is final and binding and no correspondence will be entered into about it. Withholding of a prize is justified only if a participant has not met the qualifying criteria set out in these terms and conditions.
12. Complaints
The Promoter operates a clear and fair complaints process. Any complaint about this prize draw should be submitted in writing to nichemarketing@everywhen.co.uk. The Promoter will acknowledge complaints promptly and respond within a reasonable time.
13. General terms
13.1 Participants are deemed to have accepted and agreed to be bound by these terms and conditions upon entry. The Promoter reserves the right to refuse entry, or refuse to award the prize, to anyone in breach of these terms and conditions or who has engaged in conduct contrary to the spirit or intention of this prize draw.
13.2 The Promoter reserves the right to hold void, cancel, suspend, or amend the promotion where it becomes necessary to do so.
13.3 Insofar as is permitted by law, the Promoter, its agents or distributors will not in any circumstances be responsible or liable to compensate the winner or accept any liability for any loss, damage, personal injury or death occurring as a result of taking up the prize, except where it is caused by the negligence of the Promoter, its agents or distributors or that of their employees. Your statutory rights are not affected.
14. Data protection
14.1 Personal data supplied during the course of this promotion will only be processed as set out in the Promoter’s Fair Processing Notice, which can be found at https://everywhen.co.uk/fair-processing-notice/[NS9] . The Promoter will process participants’ personal date in accordance with the UK General Data Protection Regulation and the Data Protection Act 2018.
14.2 Personal data collected via the entry form will be used to administer the prize draw, notify winners and (where applicable) publish winner information as set out in clause 10. Insurance renewal date information will be used by the Promoter for the purpose of marketing and participants will be informed of this use at the point of data collection at the event. Personal data will not be used for direct marketing purposes without the participant’s separate, freely given consent. The marketing consent tick-box on the entry from is entirely optional and has no bearing on the entry into the prize draw. Participants have the right to access, correct, and request erasure of their personal data by contacting the Promoter at the details above.
15. Governing law
These terms and conditions and this promotion are governed by English law. If any entrants to this promotion wish to take court proceeding, they must do so within the courts of the United Kingdom.
]Any restrictions, whether geographical, personal or technological (such as location, age or the need to access the internet), must be stated before or at the time of entry (rule 8.17.7, CAP Code). Restricting employees and other parties directly associated with the prize draw assists compliance with the requirement that prize draws must be verifiably random and independently judged (rules 8.24 and 8.26, CAP Code).
Clearly stating that the prize draw is free to enter and no purchase is necessary, thereby removing the payment element. Where a paid route also exists alongside a free route, the template requires both to be equally and prominently publicised and for the prize allocation system to make no distinction between them, in accordance with Schedule 2 of the Gambling Act 2005
Closing dates must not be changed unless unavoidable circumstances beyond the control of the promoter make it necessary and either not to change the date would be unfair to those who sought to participate within the original terms, or those who sought to participate within the original terms will not be disadvantaged by the change
Where there is a choice of paid or free entry, the free entry route must be publicised so it is likely to come to the attention of all potential entrants, and the system for allocating prizes must not distinguish between paid and free entries.
Clear summaries of how a prize draw will be conducted must be provided, alongside the relevant rules and game mechanisms and a statement that the prizes are to be awarded in accordance with the laws of chance.
Promoters must either publish or make available information that indicates that a valid award took place — ordinarily the surname and county of major prize winners and, if applicable, their winning entries. At or before the time of entry, promoters must inform entrants of their intention to publish or make available the information and give them the opportunity to object to their information being published or made available. In such circumstances, the promoter must nevertheless still provide the information and winning entry to the ASA if challenged
Operators should have appropriate, transparent and robust complaints processes
To encourage responsible play, operators should ensure that an appropriate time period elapses between a prize draw opening and concluding. Advertisements for prize draws should not be targeted at anyone below the age of 18. All marketing and advertising must be undertaken in a socially responsible manner, particularly taking steps to protect children, young persons and other vulnerable persons from potential harm.
When dealing with a consumer's personal data, promoters must comply with data protection and privacy laws. Best practice is to set out the transparency information in a stand-alone privacy policy which is prominently flagged to the consumer at the point of data entry. Any consents necessary (for example to direct marketing) should be obtained at the point of data entry.
